FT/Year Round position
Assist the Director of Foundation in carrying out their responsibilities:
prepare bank deposits, reconcile various accounts and maintain accurate
records. Assist with events, various projects, and campaigns.
RESPONSIBILITIES:
- Promote the mission of Bishop O†Gorman Catholic Schools
- Research and maintain donor/potential donor history
- Deposits for the Foundation
- Reconcile General Ledger account numbers for Foundation
- Maintain various spreadsheets (insurance, scholarship, events, other)
- Assist with audit duties
- Data Entry for Foundation donors into Donor Perfect and reconcile
- Back up for Development office for data entry into Donor Perfect and the daily back-up of Donor Perfect
- Past due billing for Foundation
- Oversee the Annual Report:
- Manage timelines
- Gather information
- Interview and write stories
- Assist with Foundation campaigns
- Maintain donor database
- Enter gifts and pledges in Donor Perfect
- Filing for campaign
- Prepare past due information
- Prepare deposits and thank you letters
- Maintain ACH donor database
- Assist with mailings
- Assist business office with reconciliation
- Coordinate various Foundation meetings and events including committee meetings and annual meetings
- Keep books of record (minutes, agendas, etc.) for:
Institutional Advancement Committee
Executive Committee
Investment Committee
Foundation Membership
Contracts of the Foundation
Foundation Receipts, Expenses and Disbursements (i.e. Scholarships)
- Assist with Foundation marketing materials
- Assist with Foundation newsletter, reports and correspondence
- Write, telephone or visit individuals to assist in solicitation of funds or gifts in kind
- Arrange for annual donor activity statements
- Assist with marketing & promotion of Foundation
- Represent the Foundation at meetings as needed
- Maintain ongoing record of all distributions from endowment funds-unique attributes as per donor intent
- Assist in daily office operations such as bank deposits, mailings, telephone coverage etc.
- Coordinate scholarship award process
- Prepare applications for all scholarships
- Organize scholarship selection committee meetings
- Communication with applicants, recipients, donor families, principals, colleges, committee members, and others
- Process, copy, and distribute scholarships to donor families and committee members
- Prepare certificates for all scholarships from Bishop O†Gorman Catholic Schools Foundation
- Prepare and send all recipient and non-recipient letters for all scholarships
- Communicate with college scholarship recipients to coordinate payment of scholarships first and second semester of college
- Work in combined effort with accounting department for scholarships for which tuition credit is given to the student
- Make requests and deposit funds from CCFESD for Payment and/or reimbursement of scholarships given
QUALIFICATIONS:
- BA Degree preferred
- Experience in Development or Foundation helpful
- Computer experience with spreadsheets and databases
